GMD

This table contains a list of all the possible types of resources you might encounter in your collection.  Please feel free to add to this list and modify if necessary, although the codes we have used are a standard so if you can please don't change existing entries.  Bulk changes make adjusting existing data very quick!


Depreciation Rate

This is a percentage of depreciation per annum of original cost.  20% for soft covers and 10% for hard covers seems to be an acceptable rate.


Loan Period

A standard loan period is not all that useful for text books... If you want to use one here is where the default value can be set.  We are experimenting with ways to make due dates for text books more flexible and useful. Version 4+ has a few extra options!


Staff Extension

This function allows you to avoid staff constantly  'beeping' at you because of their overdue loans.  In most instances staff are allowed significant flexibility with due dates, but we highly recommend all items returned at the end of each year because of the extremely high loss rate incurred by staff.


Loan Cut-off Dates

Last possible due dates for various year levels throughout the school are set using this function.  Select the year level and type in the last possible date due and the software will automatically shorten loans as the set cutoff date approaches.  This is only set usually for the end of each year so resources are not due back over the end of year break.


Check for Overdues

Usually not ticked.  This function will pop-up a warning if a borrower tries to lend a resource and they have an overdue loan.  Becomes annoying.


Check Loan Notes

Usually ticked.  This function pops-up special notes attached to loans on return.  This can be really handy to remind you to repair a book or give a reminder, or ask a question...  To add a note to a loan simply right click on the loan while in the lending screen and click 'edit note'.


Change Password

There are three levels of password access.  Level 1 is the highest and will give access to all modules.  Level 2 will allow access to most functions including Data Entry.  Level 3 only allows access to basic circulation functions (and catalogue access).


Buffer File

This function allows you to make a list of resources by zapping their barcodes, which can then be used to modify data in bulk.  Very useful if you need to edit something about a group of seemingly unrelated items.  For example culling in bulk.
