Setting Stock Parameters

DataTime:

This field allows you to view a certain time span of your stocktaking activities (defaults to the DateTime of the first item you zapped to the DateTime of the last item zapped).  For Example... you were stocktaking the Science section between 1pm on the 13th of September, 2004 and 3pm on the 13th of September, 2004... (Format is Year, Month, Day, Hour, Minutes, Seconds)

So the DateTime entries would be    20040913130000        to            20040913150000

                                                     (yyyymmddhhmmss)                        (yyyymmddhhmmss)


Department:

The Department describes possible value that the field should be for the catalogue records you are stocktaking... “    ”  to  ZZZZ as shown above means the department can be anything. For Fiction books it would probably be Department:   “   ” to   “    ” (which means it must be blank)


Subject:

Subject describes the possible value of the Subject field should be for the resources you wish to view.  English books would probably be  Subject:   Eng  to  Eng  (which means Subject must be “Eng”)


Level:

The Level sets the possible value that the Level field should be for the catalogue records you want test. Senior Books would probably be Level :  “11”  to  “12”


Shelf:

The Shelf can be up to 5 characters that indicates where the  resource or set is stored.  This entry describes the possible values for resources you are checking should be.  If resources are stored on shelves or a compactus you might want to restrict the range to a range of shelves. For example Shelf: A1 to A12 (which means resources must have a shelf entry in that range.)


GMD:

General Material Designation (or Description) describes what should be in the GMD field for the resources you are checking.  Books should probably be GMD:  “  ” to  “  ”


Acq Date:

The Acquisition Date describes what should be in this field for the resources you are checking.  You would usually leave this set as is which describes all resources purchased up to the day you started zapping items for the stocktake.  It is set so that if you enter new resources during the Stocktake process you dont need to remember to stocktake them!


Defaults button:

This is the “I am a little confused” button.  It resets the values of all the settings on the screen to include ALL records in the catalogue.  This is a good place to start the Stocktake Parameters setting process.  Then you move through the items asking yourself... “Now what should this field contain for the items I have just zapped?”
